POSITION TITLE:  Director of MLS

FUNCTION

The Director of MLS is responsible for the operation of the Multiple Listing Service, MLS related products and support services within the organization, and managing the MLS managers and staff. This includes negotiating pricing and service level agreements with vendors; managing vendor contracts; end user product training; application support; developing and implementing policies and procedures; plan and implement workload to ensure efficiency in delivery of product support services and quality control of data/services being delivered.  The director is also responsible for managing the MLS budget; analyzing controllable expenditures; producing strategic plan tactics; consulting with, advising, and coordinating between groups and other departments as necessary for the proper integration and correlation of functions and activities.

RESPONSIBILITIES

  • Ensure effective delivery of MLS service, technical support, and system training for end users to ensure members have the tools and knowledge to succeed.
  • Oversee the department managers and staff to ensure optimal personnel performance.
  • Periodic review of staffing requirements, performance reviews, disciplinary actions as needed, and update position descriptions as department needs change.
  • Development and implementation of the operating budget for the Multiple Listing Service, related products and support services.
  • Coordinate and work with vendors, managing and resolving application software issues.  Enforce standards for controlling data integrity, documentation and files.
  • Oversee database conversions, modifications, and enhancements of MLS system and related products. Manage post implementation support, contract compliance and product life cycle.
  • Oversee administration and enforcement of the MLS Rules and Regulations. Ensure compliance with NAR mandated policies and work with task force to develop local MLS policies. Coordinate implementation and communication of new policies to MLS subscribers.
  • Oversee training and implementation of new MLS services for MLS subscribers and staff.   
  • Keeps CEO and HiCentral MLS Board of Directors informed on MLS trends, legal issues, and emerging technology and products.
  • Serves as staff liaison on MLS committees and supports the Board of Directors of HiCentral MLS, Ltd. at the direction of the CEO.
  • Provide content for HBR and HCMLS communications.
  • Prepare and provide staff support at HBR and HCMLS events.
  • Performs other duties as directed by the CEO.

SCOPE OF POSITION

Reports to:  CEO

Supervisory responsibility:  MLS Assistant to the MLS Director, MLS Client Care and Programs Manager, MLS Solutions Manager, Systems Analyst and Data Licensing Manager, and Compliance and Data Accuracy Specialists.

LEVEL OF INTERACTION

Internal:

  • Works closely with CEO and Management Team.
  • Provides direction for MLS staff and to staff in other departments for occasional MLS support.
  • Communicates with the Board of Directors and other volunteer leadership as required.

External:

  • Has contact with vendor representatives, consultants, legal counsel, and officials of public and private organizations.
  • Communicates with the National Association of REALTORS and Hawaii Association of REALTORS personnel.
  • Maintains a network of contacts with persons in other organizations who have similar responsibilities. Attends MLS industry conferences and NAR meetings related to MLS issues.
  • Interacts with customers and potential customers.

KNOWLEDGE, SKILLS AND EDUCATION

  • Bachelor’s degree in Business, Technology or related experience.
  • Minimum 5+ years in management position and supervising multiple managers and employees.
  • Proven strong leadership, communication and organizational skills.
  • Experienced in contract negotiations.
  • Budget and project planning experience
  • Ability to handle multiple priorities.
  • Experienced in system specifications and data conversions, online applications, and mobile applications.
  • Proficiency in the use of PC, MS Office and internet
  • General knowledge of real estate industry and technical computer desirable
  • Title and escrow experience desirable
