Position Summary

The Program Coordinator is ultimately responsible for Verto’s in-country operations, logistics, development of the Verto semesters, and helps plan and coordinate student engagement activities throughout the semester. Through one-on-one coaching and mentorship, the Program Coordinator ensures Student Life Coordinators feel supported and engaged during their Verto experience. Program Coordinators work to create cultural immersive experiences that contribute to foster a sense of belonging and community for each student that participates in a Verto semester. Collaborating with Verto’s local partners, Program Coordinators help coordinate all aspects of operations, vendor vetting processes, bookings, transportation, logistics, and anything else related to the development of the semester in Hawaii

Program Coordinators report to the Hawaii Program Director, and work closely with other Verto staff and Verto partners to deliver the highest-quality experience for Verto students. 



  • Work with Program Director to monitor and approve programming activities that align with the Verto mission in Hawaii

  • Liaise with vendors, Kalani, exhibitors, and stakeholders pre/during/post semester via phone, email, in person meetings to ensure that programming is in order for ground operations

  • Coordinate logistics to welcome students on arrival and, alongside Student Life Coordinators, coordinate orientation where students build familiarity with the location, get to know their peers, set goals for their semester, and ensure clarity on their academic and behavioral responsibilities and expectations.

  • Quote and book transportation, accommodation, and program bookings for staff and students as necessary to assist daily program operations.

  • Prepare financial statements related to the program activities to submit to Verto

  • Help support and provide guidance to ground staff for necessary logistics 

  • Oversee daily logistics with students meals, transportation, and activities 

  • Manage all logistical set-up, tear down, and follow-up processes from activities or events.

  • Program Coordinator will manage operations budgets and report to Hawaii Program Director. 

  • Book venues, entertainers, and schedule speakers/vendors as necessary with planning from Academic and Student life leads. 

  • Ensure on the ground success with in person preparation and day of appearances. 

  • Assess Verto’s overall success and work through feedback with Director and Hawaii management team

  • Work on G suites to maintain necessary workbooks/documents

  • Be on site for team meetings and large logistical event days

  • Be on call for management support as listed on your schedule

Health & Safety

  • Proactively work with local vendors and providers performing vendor vetting processes before working with them. 

  • Participate in an “on call” rotation to respond to student emergencies, and support care of medical, mental health, and behavioral issues.

  • Other duties as reasonably assigned.

Requirements and Qualifications

  • Ability to work remote, and travel as-needed

  • Ability to attend Verto training in Costa Rica in August 2021 (17-25th) *COVID-19 Vaccinations Required to attend

  • At least 3 years’ experience as an event/program/retreat coordinator.

  • Well-organized with excellent multi-tasking abilities.

  • Outstanding vendor management skills.

  • Bachelor’s degree in hospitality management or public relations is preferred.

  • Strong communication and interpersonal skills.

  • Proficiency in G-Suites and Microsoft products

  • Over 25 years old
