POSITION TITLE: Education Administrative Assistant

DEPARTMENT: MEMBER SERVICES

FUNCTION: 

Provides administrative support to the Education Administrator and the Education Program; and assists with department operations.

RESPONSIBILITIES:

  • Administrative support to Education Program and Education Administrator.
  • Coordinates and performs operational support activities for the department; serves as a liaison with other departments in the resolution of day-to-day education issues.
  • Compose and edit correspondence and/or memoranda from verbal direction, or from knowledge of established department/division policies.
  • Assist with responding to requests for information via email, phone, and walk-ins, including handling class registration, transfers, and cancellation requests.
  • Prepare course and marketing materials.
  • Assist with logistics for classes (i.e., room set-up and breakdown, preparation and clean-up, food and beverage service, etc.) and with the delivery of course content through electronic and technological means.
  • Assist instructor on the day of the course as needed.
  • Handle education webinar and live in-person class check-in/outs and monitoring and work with vendors for virtual self-paced course offerings; and comply with CE policies required by the Hawaii Real Estate Commission as applicable.
  • Process all course attendance reports to the HBR Membership database and to applicable vendors, i.e., HAR, CRD, and DCCA.
  • Process CE class attendance reports to the DCCA via their online systems and assist to maintain compliance of the CE providership with DCCA`s REB administrative rules.
  • Assist with records retention procedures for electronic and paper files.
  • Assist with all events that are educational in nature. 
  • Assist all other departments as needed.
  • Other duties as assigned.

SCOPE OF POSITION

  • Reports to the Education Administrator.
  • Works closely with department, instructors, membership and HBR Staff.
  • Maintains strict confidentiality with Membership matters.

KNOWLEDGE, SKILLS AND EDUCATION

  • Well organized and able to work under limited supervision.
  • Proficient in the use of Microsoft Outlook, Teams, Word, Excel, PowerPoint, Clipchamp and Edge, Google Workspace, Zoom, LearnWorlds, Canva, and Adobe Acrobat.
  • Proficient database user capable of creating, updating, and managing membership relations, and editing HTML. 
  • Minimum 3 years office environment experience.
  • Team player with excellent customer service skills on the phone, email and in person.
  • Excellent verbal and written communication skills.
  • Demonstrated experience with on-the-spot problem solving and attention to details.
  • Ability to work in a fast-paced atmosphere and completes assigned tasks in a timely manner. 
  • Physical demand: Ability to lift 20 lbs. and sit for long durations.

FLSA CLASSIFICATION

Non-Exempt position.
