PART-TIME ADMINISTRATIVE ASSISTANT/BOOKKEEPER

Position Summary:

Provide part-time administrative and bookkeeping/accounting support for a busy environmental consulting firm in Kailua, Oahu, Hawaii. 

Position does NOT have the option for remote hours. Candidate must work from the company office in downtown Kailua, Oahu, Hawaii. Must live in Hawaii at the time of application. Parking is provided. Part-time hours are negotiable for a set weekly schedule, Monday to Friday during company business hours 8am – 5pm.

Primary and Essential Responsibilities:

  • Bookkeeping and accounting duties: manage all incoming mail and vendor bills (code/entry to a database), verify expense receipts, monthly reconciliations, compile documentation, bank deposits, etc. Book and track employee travel to neighbor islands (flight/hotel/rentals), and additional tasks as assigned. 
  • Administrative/clerical and project support: general administrative and clerical support for day-to-day office operations; reception/front office duties, distribution of mail/packages, supplies. On occasion, proofread documents and review spreadsheet tables, copying, collating, and binding reports, and performing additional project tasks as directed.

Minimum Requirements:

  • Education. 
    • High school diploma or equivalent.
  • Job Experience. 
    • 3+ years of in-office work experience as an administrative assistant and/or accountant/bookkeeper.
  • Skills/Knowledge. 
    • Competent with general office tasks.
    • Basic knowledge of bookkeeping, accounting, and reconciling.
    • Good decision-making, problem-solving, and time management skills.
    • Basic knowledge of Microsoft Office programs (specifically Outlook, Word, and Excel) 
    • Able to learn and use other software and web-based business services essential to this position.

  • Must be able to speak and write in English fluently.
  • Requires understanding oral and written directions and the ability to follow those directions.

Physical Demands: 

  • Must be physically able to perform the essential duties of this position. 
  • Requires considerable sitting, standing, and walking; occasional lifting/carrying and pushing/pulling of supplies or equipment up to 25 pounds.
  • Requires extensive computer use, working indoors under regular office conditions.
