Job Overview
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in ensuring smooth office operations and providing excellent customer service. The ideal candidate will be the first point of contact for clients and visitors, managing front desk responsibilities while supporting administrative tasks. The position requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. Knowledge with air conditioning systems is a plus but not required and can be taught to help meet the needs of clients. Responsibilities
- Greet and assist clients in a friendly and professional manner.
- Answer and direct phone calls using mobile phone systems.
- Manage appointment scheduling and maintain the technicians calendars.
- Perform data entry tasks, ensuring accuracy in all records.
- Assist with proofreading documents for clarity and correctness.
- Handle incoming and outgoing correspondence, including emails and mail.
- Maintain an organized office environment.
- Support management and technician staff with various tasks as needed.
- Ensure confidentiality of sensitive information.
- Assist with coordinating installation projects.
Skills
- Strong computer literacy, including proficiency in Microsoft Office Suite and office management software.
- Excellent time management skills to prioritize tasks effectively.
- Previous experience as a receptionist or administrative assistant is preferred but not required.
- Previous experience with HVAC systems including ductless mini split and residential central systems preferred but not required.
- Familiarity with front desk operations in an office setting is essential.
- Strong proofreading skills to ensure high-quality documentation.
