PositionObjectives
Provides operational support for PDS 5-phase process implementation and system administration (Ingenious, Spend app, Reports Wizard, Property Hub, Azara) under the guidance of the PDS Transition Lead. Takes guidance from the PDS Transition Lead and can effectively translate high-level direction into actionable to drive tasks and deliverables within a defined timeline to prepare new PDS accounts for operational delivery. Assists with Capital Planning transitions and Relocation Project Management transitions while developing expertise in and documenting best practices on Work Dynamics strategic account operations.
Supports client and PDS on-account leadership through data management, documentation, and coordination activities that enable seamless account transitions and transformations. Functions as a reliable team member who helps maintain project timelines and quality standards during high-pressure defined transition timelines. periods.
Documents, collates, and deploys Learns and applies PDS project management methodologies while supporting multi-service line engagements and Transition Leads across Finance, Sourcing, Transactions, Facility Management, Occupancy Planning, and Lease Administration.
Position Responsibilities
Process Support: • Generates process documentation, templates, and deliverables with feedback from the Transition Lead, then continuously evaluates and updates updates and maintains these materials to apply to the next transition/transformation initiative • Assists in documenting transition requirements, maintains workplan timelines, and tracks key activities and deliverables • Supports data entry and data management across PDS technology platforms • Helps coordinate cross-functional transition activities between business lines and service deployment teams • Takes guidance from the Transition Lead and effectively translates drives strategic direction into operational tasks and execution plans
Analytical and Best Practice Development: • Reviews, updates, generates PDS operational standards and conducts deep-dive analysis on account performance metrics to evaluate performance against PDS standards • Applies PDS best practices to assess current client processes and identifies pathways for improvement • Contributes to the development and refinement of best practices by documenting lessons learned and successful methodologies • Analyzes process gaps and recommends solutions based on PDS methodology and proven approaches
Client and Account Support: • Provides administrative support for client communications and meeting coordination • Assists with preparation of client deliverables and status reports • Supports on-account PDS teams with data gathering and analysis activities • Helps track and document project risks and action items • Supports transformation analysis and application of best practice initiatives for existing clients across PDS, Capital Planning, and Relocation Project Management (RPM) service lines • Assists in identifying and documenting transformation opportunities across PDS within current client accounts • Fluency in conducting and navigating Client and JLL meetings with senior stakeholders on transition/transformation topics
Technical Support: • Utilizes transition tools including Excel, Project, PowerPoint, Visio, OneNote, Word, SharePoint, and Workfront • Assists with meeting logistics and basic facilitation support (in-person and virtual via MS Teams) • Supports creation of case studies, white papers, and quarterly metrics reports • Maintains system data integrity and performs quality checks
Training and Development: • Participates in PDS training programs and develops knowledge of PDS client-specific processes • Assists with training material preparation and logistics coordination • Supports knowledge management and best practice documentation
Essential Skills and Experience
• Bachelor's Degree or equivalent experience • 2-4 years of experience in project coordination, construction administration, or real estate operations • Basic understanding of project management principles and construction/move management processes • Strong analytical skills with ability to interpret data, identify trends, and translate findings into actionable recommendations • Demonstrated ability to take high-level guidance and translate it into detailed execution plans • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Project) • Strong organizational skills with attention to detail and accuracy • Excellent written and verbal communication skills • Ability to learn new systems and technology platforms quickly • Customer service orientation with professional demeanor • Ability to work collaboratively in team environments • Flexibility to support varying work schedules and occasional travel (up to 25%)
Beneficial Skills and Experience
• Experience with project management software (Ingenious, Workfront, or similar platforms) • Previous exposure to corporate real estate or facilities management • Basic understanding of construction processes and terminology • Experience supporting executive-level communications • Process improvement or Lean methodology familiarity • Experience with data analysis and metrics reporting

Estimated compensation for this position:
90,000.00 - 100,000.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
