JOB DESCRIPTION

The role contributes to the efficient operation of the department by supporting procurement planning, documentation, vendor coordination, and contract oversight.

Description of Duties

  • Assist with coordinating procurement activities for goods and services, including preparing documentation and supporting procurement timelines.
  • Help prepare cost estimates and review budgets to confirm funding availability for purchases.
  • Draft and issue Requests for Quotes (RFQs) outlining scope of work, timelines, and payment terms.
  • Maintain accurate procurement records and documentation within electronic systems to support compliance and audit readiness.
  • Review vendor quotes for accuracy and completeness and support the evaluation and contract award process.
  • Assist with monitoring vendor performance to ensure delivery of goods and services according to contract requirements.
  • Verify invoice accuracy and coordinate with vendors to resolve discrepancies.
  • Support the review and improvement of procurement policies, procedures, and operational processes.

Qualifications

  • Bachelor's degree in Business, Finance, Management, or a related field.
  • Minimum four (4) years of experience in administrative, operational, or analytical roles involving data analysis, process improvement, or performance measurement.
  • Experience evaluating policies, operational systems, or vendor/contractor performance.
