This position will support the operations of the University of Hawaii at Manoa School of Nursing and Dental Hygiene (SONDH) Clinical Placement Office at one or multiple UH campus locations, and is expected to begin approximately May 2026 or as mutually acceptable. Duties and Responsibilities:

  • ** Receive and coordinate Centralized Clinical Placement System (CCPS) requests, submitting information and attending CCPS meetings.
  • ** Monitor CCPS process and procedure and propose changes for efficiency, as needed.
  • ** Assist the Clinical Placement Director and designated Department of Nursing (DON) staff to ensure timely student orientation and facility clearance to clinical sites in collaboration with faculty which includes, but not limited to, facility onboarding procedures and submission of supporting forms prior to start of clinical.
  • ** Assist the Clinical Placement Director and University Health Partners (UHP) and/or Office of Student Services to ensure timely student health clearances, renewals, etc.
  • ** Independently create and draft substantive letters, reports, and documents for the DON to health care agencies, students, faculty and administration.
  • ** Review and organize onboarding documents to ensure documents are submitted in its entirety.
  • ** Respond appropriately to inquiries and complaints from faculty, staff, students and the community.
  • Communicate with Clinical Placement Director on questions and issues regarding clinical onboarding.
  • ** Attend required meetings and events at clinical affiliating agencies.
  • Other duties as assigned.

Minimum Qualifications:
  1. Possession of a baccalaureate degree in Business Administration, Human Resources, Social Sciences, Education and one (1) year of progressively responsible professional experience with administrative and/or program support; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  2. Functional knowledge of principles, practices and techniques in the area of administrative and/or program support demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with administrative and/or program support.
  4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of administrative and/or program support.
  5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  7. Demonstrated ability to operate a personal computer, apply word processing software such as MS Office, Google WorkSpace, DropBox and other cloud storage platforms.
  8. Self-starter with demonstrated ability to learn new operating systems quickly.
  9. Excellent organizational and interpersonal skills.
  10. Demonstrated ability to effectively participate and collaborate as a member of a team.
  11. Demonstrated ability to exercise good judgement, problem-solving and communications skills with a high standard of customer service when responding to complex and demanding situations, inquiries or complaints.

Desirable Qualifications:
  • Experience organizing and preparing document submissions.
  • Knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with the coordination of handling confidential student information in compliance with FERPA.
  • Familiarity with HIPAA regulations and willingness to obtain university certification in relevant regulations including FERPA.
