Job Summary
Northwest Demolition & Dismantling (NWDD) is seeking an Accounts Payable & Administrative Coordinator to support the Hawaii Division based in Honolulu, Oahu . This position will assist with financial administration, vendor coordination, billing support, payroll processing, project cost tracking, and general office operations.
The ideal candidate will be highly organized, detail-oriented, and comfortable working in a fast-paced construction environment. This role will work closely with the Hawaii Division Manager, General Superintendent, vendors, and the NWDD corporate accounting team to ensure accurate financial processing and operational support.
Key Responsibilities
Accounts Payable
Coordinate with the Hawaii Division Manager and Hawaii General Superintendent to ensure proper coding and approval of division invoices and job costs in accordance with AIS corporate policies
Communicate with external vendors regarding invoices for the Hawaii division
Work with vendors and the NWDD Accounts Payable Manager to resolve invoicing discrepancies or issues
Billing & Job Cost Support
Assist with billing tasks as directed by the Hawaii Division Manager , including assembling Time & Materials (T&M) billings
Support project cost tracking activities including burn rate sheet entry and cost monitoring
Payroll Support
Coordinate the collection and submission of employee timecards to the Payroll Manager
Assist in ensuring timecards are accurate and submitted in accordance with payroll deadlines
Waste Stream Tracking
Track project waste streams as assigned by the Hawaii Division Manager
Coordinate with haulers, landfills, and salvage yards to collect and maintain waste stream documentation and disposal tickets
Operational Support
Assist with ordering and coordinating parts, supplies, rental equipment, and equipment transportation as requested by project teams
Office Administration
Assist with organizing, scanning, and filing project documentation
Support preparation of project documents and submittals , including formatting and editing
Perform general data entry and spreadsheet management
Provide administrative support to the Hawaii division as needed
Qualifications
Education & Experience
Associate or Bachelor's degree in Accounting, Business Administration, Construction Management, or related field preferred
Previous experience in accounts payable, accounting support, or construction administration is preferred
Experience in the construction industry is a plus
Skills
Strong attention to detail and organizational skills
Proficiency in Microsoft Excel and Microsoft Office
Ability to manage multiple priorities and deadlines
Strong communication skills and ability to work with vendors, project teams, and corporate accounting staff
Ability to work independently while supporting a collaborative team environment
Assist in additional administrative/coordination functions as needed
