Administrative Assistant, Attendance Office - Academy, Grades 9-12

Description:

Punahou School is seeking an Administrative Assistant for the Academy. Under direct supervision, the Administrative Assistant provides administrative support to department management and staff. They will also serve as a resource to staff, students, parents and visitors. Multiple levels availabledepending on the candidate's background, skillset, and experience. Primary duties will include, but are not limited to:

  • Responsible for tracking faculty attendance and scheduling substitute teachers in the Academy. Collects required documentation including lesson plans and class roster. Secures substitute teacher and provides reporting instructions, plans, and rosters. Assist in the distribution and collection of classroom keys.
  • Provides backup coverage for the Study Hall Monitor or coordinates substitute coverage as needed, including supervising students and proctoring tests in Study Hall.
  • Provides backup coverage for the Attendance Coordinator by maintaining attendance records, schedules, and files for the purpose of documenting activities and/or providing reliable attendance information for both faculty and students. Researches discrepancies of attendance information and/or documentation as needed for the purpose of ensuring accuracy of attendance data before processing.
  • Assists with obtaining attendance records for student entry and exit from campus during school hours (e.g., admission slips, late notices, class release, athletic events, special events, etc.) for the purpose of ensuring accurate reporting of attendance including excused absences and tardies.
  • Works closely with Deans, in coordination with the Attendance Coordinator, to record, monitor, resolve discrepancies, and clear demerits.
  • Completes general clerical duties including, but not limited to: managing paperwork, handling divisional mail, data entry, word processing, making copies, ordering of supplies and schedules equipment repairs as needed.
  • Communicates frequently, effectively and professionally with parents and/or guardians, faculty, administrators, students, staff and others.
Position Details:
  • Work Year: 9 Months
  • School Year: 2026-2027
  • Work Hours: Monday - Friday, 7:30 AM - 3:00 PM; On-Call Hours: Monday - Friday, 5:30 AM - 6:30 AM, and until 8:00 PM
  • Minimum Hourly Rate*: $23.00/Hour - Compensation is commensurate with qualifications

Pay for selected candidates will be determined by various factors such as knowledge, skills, abilities, relevant training and experience, and internal equity.

Minimum Qualifications:
  • Bachelor's Degree or equivalent combination of education, experience and training.
  • Two (2) years of administrative experience.
  • Experience working in a school environment preferred.
  • Proficiency with using Microsoft Office Suite, Google Suite, Webex, Microsoft Teams. Working knowledge of relational databases and student information systems.
  • Must have flexible thinking and problem solving skills.
  • Must have strong written and verbal communication skills.
  • Must work well under pressure and able to meet scheduled deadlines.
  • Demonstrates excellent organizational and anticipatory thinking skills, is detail-oriented, accurate, able to effectively and efficiently handle multiple, simultaneous, and diverse tasks and projects, and prioritize and manage a heavy workload.
  • Demonstrates the highest integrity and work ethic.
