Kumabe HR is partnering with a local nonprofit organization to find an Office Manager for their offices in downtown Honolulu.
Position Overview
We are seeking an experienced and proactive Office Manager to oversee the day-to-day administrative and operational functions of our office. This role is responsible for ensuring efficient office operations, managing facilities and vendor relationships, supervising administrative staff, and optimizing workplace processes to support organizational goals.
The ideal candidate is highly organized, detail-oriented, and confident leading in a fast-paced environment. This role requires strong communication skills, sound judgment, and the ability to balance multiple priorities while maintaining a professional and welcoming office environment.
Key Responsibilities
• Oversee front office operations, including reception, phone systems, mail distribution, and visitor management to maintain a professional image.
• Supervise and support administrative staff, fostering a collaborative and team-oriented work environment.
• Develop, implement, and maintain office policies, procedures, and systems to improve efficiency and workflow.
• Manage facilities operations, including space planning, maintenance, repairs, housekeeping, and office layout coordination.
• Serve as the primary liaison with building management, vendors, and service providers.
• Oversee the office operating budget, capital improvements, and expenditures, ensuring compliance with company policies.
• Manage procurement of office supplies, furniture, and equipment in alignment with budget guidelines.
• Coordinate internal office moves, meeting room scheduling, and workspace utilization.
• Collaborate with the IT department to ensure smooth functioning of office systems and technologies.
• Manage administrative oversight of company-owned or leased properties, including reservations and operational logistics.
• Support contract coordination, service agreements, and special projects as assigned.
• Contribute to organizational success by supporting team members, embracing new initiatives, and continuously improving office operations.
Qualifications
• Bachelor's degree or equivalent professional experience.
• 3-5 years of experience managing office operations or administrative functions.
• Strong leadership, organizational, and problem-solving skills.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Experience managing budgets, vendor relationships, and facilities preferred.

Physical Requirements
• Ability to perform light physical activity including lifting up to 25 pounds.
