Duties and Responsibilities (*Denotes Essential Functions):

  • *Provide professional administrative support for the Office of the Vice Chancellor for Academic Affairs (OVCAA).
  • *Support the Operations Coordinator in the administrative review and preparation of academic personnel-related documents and transactions.
  • *Work with the UH West Oahu Business Office and Human Resources Office to assist in maintaining compliance with fiscal and personnel matters in accordance with Federal, State, University, and UH West Oahu rules and regulations.
  • *Assist with the recruitment, hiring, and onboarding of all new and returning Lecturers and OVCAA Casual hires to include the management of lecturer postings on NeoGov, the collection and auditing of new hire forms, and certifying I-9 documents in compliance with with federal regulations.
  • Assist with the collection of information, preparing, monitoring, tracking and timely processing of faculty overloads in compliance with university payroll deadlines.
  • Assist in tracking faculty overload fee schedules and resource allocation for lecturers.
  • Perform as a liaison and work closely with other departments (Student Affairs, Administrative Services, Chancellor's Office, etc.).
  • Other duties as assigned.
Minimum Qualifications
  • Possession of a baccalaureate degree in Business Administration, or related field and one (1) year of progressively responsible professional experience with responsibilities for business management or human resources administration; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  • Functional knowledge of principles, practices, and techniques in the area of business management, human resources or personnel administration demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations, and systems associated with human resources administration, business management, or related fields.
  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of human resources administration or business management.
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
Desirable Qualifications
  • Experience with database creation and management.
  • Knowledge of University of Hawai'i higher education or public sector organization applicable policies and procedures and relevant practices.
  • Experience using computerized human resources information systems.
