Duties and Responsibilities:

  • *Serves as the operational coordinator for the Office of Internal Audit (OIA), managing the project lifecycle for all audits.
  • *Monitors to ensures internal staff and external consultants meet project timelines, milestones, and deliverable schedules.
  • *Reviews, formats, compiles and analyzes audit documentation and assists in the preparation of audit workpapers and reports.
  • *Manages administrative functions including calendar scheduling, coordinating meetings with University leadership and external partners, and handling professional inquiries via phone and email.
  • *Coordinates auxiliary services for the office (facilities maintenance, telecom, office equipment, etc.) and maintains office inventory and supplies to ensure a productive work environment.
  • *Manages OIA technology (laptops, software) with the assistance of the UH Information Technology Services (ITS). Serves as the primary liaison to UH ITS to coordinate troubleshooting IT issues, infrastructure needs, security, and networking. Also, develops and maintains OIA files, records, and back-up.
  • *Prepares and issues fiscal related documentation for the procurement of goods and services and processing payments. Generates and maintains budget worksheets and expenditure documents.
  • Other duties as assigned

Minimum Qualifications:
  1. Possession of a baccalaureate degree in Business Administration, Project Management, Public Administration, or related field and one (1) year of progressively responsible professional experience with responsibilities for project coordination, engagement management, or office administration; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  2. Functional knowledge of principles, practices and techniques in the area of project coordination, engagement management, or office administration demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with project coordination, engagement management, or office administration.
  4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of project management.
  5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  7. Demonstrated ability to operate a personal computer, apply word processing software, spreadsheets, and presentation decks.

Desirable Qualifications:
  1. Experience working in an internal or external audit environment, or consulting.
  2. Familiarity with Higher Education or University of Hawaii fiscal and administrative policies.
  3. Experience with audit management software or advanced data organization tools.
  4. Professional certification in project management (e.g., CAPM or PMP) or related areas.
