Human Resources Assistant

We are looking for an organized and detail-oriented Human Resources (HR) Assistant to support various HR functions within our insurance industry organization in Honolulu, Hawaii. This long-term contract position offers the chance to contribute to payroll, compliance, employee services, and administrative tasks. The ideal candidate will possess excellent communication skills, a strong ability to prioritize, and a commitment to maintaining confidentiality.

Responsibilities:

  • Process bi-weekly payroll, ensuring accuracy in employee changes, tax filings, reconciliations, and compliance reporting.
  • Prepare and distribute internal HR documentation and communications efficiently.
  • Stay updated on HR and payroll regulations to ensure compliance and consistent application.
  • Respond to employee inquiries and HR-related issues promptly and professionally.
  • Investigate and resolve concerns independently with minimal supervision.
  • Maintain accurate HR records and documentation using relevant systems.
  • Handle benefit invoice reconciliation and payments with precision.
  • Assist with onboarding, offboarding, and routine HR communications to ensure smooth transitions.
  • Support HR activities such as scheduling meetings, coordinating events, and managing follow-up communications.
  • Identify and recommend opportunities to improve HR and payroll processes for greater efficiency.

Requirements:

  • Proven ability to prioritize tasks, meet deadlines, and work independently with minimal supervision.
  • Exceptional attention to detail and accuracy in all aspects of work.
  • Strong understanding of confidentiality requirements for employee information.
  • Basic knowledge of HR principles and/or payroll accounting.
  • Demonstrated interest in expanding knowledge in Human Resources or payroll systems.
  • Excellent written and verbal communication skills for interacting with internal and external stakeholders.
  • Proficiency in computer systems, including payroll software (preferred) and Microsoft Excel.
  • Ability to collaborate effectively within a team while also taking initiative in independent tasks.
