A Day in the Life

Reporting to the Order to Cash Manager, theOrder Management and EDI Support Specialist plays a pivotal role in ensuring seamless order processing and financial accuracy, leveraging Salesforce and Sage 500 to maintain precise records for on-time and in-full (OTIF) shipping. This position is integral to fostering cross-functional collaboration, enhancing operational efficiency, and upholding a culture of excellence, accountability, and continuous improvement in a fast-paced environment.

Responsibilities:

  • Order Management - Accurately process and input customer orders in a timely manner to maintain operational efficiency and customer satisfaction.
  • Financial Processing - Post daily cash receipts, ensuring timely and accurate financial reconciliation.
  • Invoicing & EDI Support - Serve as a backup for invoicing and Electronic Data Interchange (EDI) transactions, ensuring seamless electronic order processing.
  • Accounts Receivable Oversight - Manage and collect all cash-in-advance order payments while obtaining required credit authorizations for designated accounts.
  • Automated Order Processing - Co-manage and optimize EDI processes, developing expertise in electronic order management.
  • Sales Quotation & Pricing - Prepare comprehensive sales quotes, incorporating discounts and freight charges for cash-in-advance customers.
  • Customer Support & Order Inquiries - Respond promptly to customer inquiries, providing proactive solutions to maintain high service standards.
  • Order & PO Reconciliation - Investigate and resolve discrepancies between sales orders and original purchase orders to uphold data accuracy and compliance.
  • Cross-Functional Training & Development - Develop expertise in team-wide processes to enhance flexibility, redundancy, and operational agility.
  • Continuous Improvement - Identify and implement process enhancements to drive efficiency, accuracy, and best practices in order management.
  • Additional Responsibilities - Perform other related tasks and projects as assigned to support the success of the department.
Basic Requirements:
  • High School diploma.
  • Three years' experience with order entry, EDI processes, Invoicing or cash receipts.
  • Intermediate Excel capabilities are a plus.
Summary of Necessary Knowledge, Experience and Skills:
  • Three years' experience working in an office environment with order processing.
  • Experience using accounting software, and Microsoft Office (especially Excel).
  • Must be very meticulous and understand the importance of performing tasks with accuracy and efficiency.
  • Must have organizational skills
