Introduction:
This position provides administrative and fiscal support to Kapi'olani Community College's Auxiliary & Facilities Services Department. The Auxiliary & Facilities Services Department is part of Kapi'olani Community College's Administrative Services Division, which administers and provides these Auxiliary & Facilities Services.
Duties and Responsibilities

- **Assists staff members, providing guidance and oversight to ensure efficient daily operations.
- **Assists in managing student workers as needed, delegating tasks, and ensuring productivity.
- **Assists in the office's administrative functions, overseeing documentation, correspondence, and operational workflows to ensure smooth departmental operations.
- Receives and attends training to ensure compliance with applicable laws, rules, policies, procedures, and practices, especially when offered by the Human Resources and Business Office.
- **Assists in executing the complete preparation, processing, and submission of all fiscal paperwork related to departmental expenditures & etc, ensuring accuracy and adherence to financial procedures.
- Maintains accurate financial records by tracking and managing the department's budget in compliance with institutional policies.
- **Assists in administering and overseeing contract management, ensuring proper execution, monitoring, and compliance with contractual terms.
- Works collaboratively with the College's Business Office and HR Department.
- **Assists in executing the complete preparation, processing, and submission of all human resources paperwork related to hiring, onboarding, personnel changes, & etc., ensuring compliance with HR policies and institutional guidelines.
- **Serves as a back-up in assisting in the oversight of key distribution, collection, and inventory for campus security, ensuring all transactions are properly authorized and documented.
- **Serves as a back-up in overseeing the receipt, processing, metering, and timely distribution of all incoming and outgoing mail and parcels across campus, ensuring compliance with postal regulations.
- Assists in overseeing the loaning of contractor keys, ensuring proper authorization and record maintenance.
- **Assists in overseeing the management of consumable inventory, such as janitorial supplies, ensuring adequate stock levels to meet operational needs.
- **Tracks inventory usage, assesses supply needs, and places orders as necessary to prevent shortages and disruptions.
- Reviews, approves, and closes work orders in a timely manner, ensuring proper documentation and completion.
- **Ensures that all work orders are received and appropriately processed by the Operations Supervisor.
- Performs duties as assigned to ensure efficient work order processing and operational support.
- May serve as the primary point of contact for construction-related updates, ensuring that relevant campus stakeholders receive timely and accurate information regarding ongoing and upcoming projects.
- Performs various administrative functions and additional responsibilities as needed to support the department and institution.
- Other duties as assigned.
Minimum Qualifications - Possession of a baccalaureate degree in Business Administration, Accounting, Finance, Human Resources, Public Administration, Construction management, or other related field, and 1 years of progressively responsible professional experience with responsibilities for administrative, fiscal and human resources management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
- Considerable working knowledge of principles, practices and techniques in the area of administrative, fiscal and human resources management; as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
- Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with administrative, fiscal and human resources management.
- Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
- Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
- Demonstrated ability to operate a personal computer, apply word processing software, and Google suite applications.
- If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
Desirable Qualifications: - Familiarity with the University's administrative and budgeting policies and procedures.
- Evidence of ability to effectively perform work under conditions of multiple priorities, deadlines, and interruptions.
- Familiarity and experience with UH policies and procedures, and preferably experience with UH accounting and personnel systems.
- Evidence of strong organizational, communication, and interpersonal skills.
