Why our Accounting Assistant is Important:

Our Accounting & Finance Department monitors and maintains the Company's financial resources to maximize profitability. Our Accounting Assistant supports daily accounting operations by processing transactions, maintaining accurate financial records, and providing excellent internal and external customer service. This role is ideal for someone who is detail-oriented, organized, and eager to build or grow their accounting skills in a collaborative, fast-paced environment.

This position is currently classified as Part-Time Casual.

Essential Duties

Accounting Operations
  • Process disbursements, purchase order requests, claim payments, and operating expenditures (Accounts Payable).
  • Review transactions for accuracy and assess budget availability.
  • Request and maintain W-9 documentation for new or updated vendors.
  • Track and follow up on outstanding checks, including preparing and sending due-diligence letters.
  • Update and maintain accounting reports, schedules, and check registers as required.
Cash Receipts & Reconciliation
  • Post cash receipts and prepare bank deposits.
  • Journalize entries from source documents.
  • Prepare daily cash reports and support bank reconciliations.
Customer & Vendor Support
  • Serve as a front-line point of contact for internal and external customer and vendor inquiries.
  • Communicate professionally and respond to requests in a timely manner, in accordance with department standards.
Administrative & Team Support
  • Manage incoming and outgoing mail for the accounting department.
  • Maintain organized electronic and physical filing systems.
  • Cross-train and provide backup support to other accounting staff as needed.
  • Document and update procedures in the accounting manual.
  • Participate in departmental meetings, training programs, and continuous improvement efforts.
  • Perform other duties and special projects as assigned.
Requirements

Required
  • Strong attention to detail with the ability to maintain accuracy in a high-volume environment.
  • Ability to prioritize tasks, multitask effectively, and meet deadlines.
  • Strong problem-solving skills and sound judgment.
  • Ability to work independently while collaborating effectively with a team.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, especially Excel, Word, and Outlook.
Preferred
  • Working knowledge of basic accounting principles and processes.
  • Prior experience in an accounting, finance, or administrative support role.
  • Experience using accounting or financial systems.
  • Willingness and ability to learn new systems and processes quickly.
