Description:

Provides reception and administrative support to the General Manager and Administration

Essential Duties include the following:

• Answer all incoming calls and direct to the appropriate contact, voice mail box and/or handle as needed.
• Take messages and communicate to employees.
• Greet visitors and guests, notify their contact and assist in escort to destination as needed.
• Process outgoing mail.
• Distribute incoming mail to appropriate parties.
• Order and maintain office and kitchen supplies
• Book and maintain conference room calendars.
• Update and distribute company logs/lists including but not limited to: phone directories, events hotlines, distribution lists, and contacts
• Perform routine and confidential administrative responsibilities.
• Prepare and edit outgoing internal correspondence to include email messages, memos, etc.
• Communicate pertinent information to outside agencies.
• Upload, scan, fax, print, and distribute various statements and other documentation as needed.

Requirements:

1. A minimum education level of: High School Diploma or its equivalency
2. A minimum of 0-1 years of related work experience in an office or receptionist position
3. Must be able to sit for extended periods of time.
4. Excellent written, verbal and listening communication skills with the ability to read, write and speak English
5. Professional appearance and demeanor
6. Exceptional organizational skills with strong attention to detail
7. Must have a flexible attitude and the ability to deal well with changing assignments and priorities.
8. Ability to communicate effectively; to articulate ideas and issues clearly.
9. Strong computer skills including a well-rounded working knowledge of Microsoft Office.
10. Excellent customer service and interpersonal skills
11. Must have the ability to work harmoniously in a team setting exhibiting the "Aloha Spirit" to fellow workers, guests, clients and the community so as to provide exceptional customer service while demonstrating behaviors that reflect the company's vision, mission statement and values.
