Overview

Punahou School is seeking a Registration Services Specialist to join the Extended Learning Registration team. Reporting to the Registration Services Manager, this role works closely with team members, program coordinators, and program directors to deliver a wide range of administrative, operational, and clerical support. The Registration Services Specialist plays a key role in ensuring the smooth operation of the Co-Curricular and Summer Programs.

Responsibilities

  • Providing general front office support and exceptional customer service when assisting parents, administrators, faculty, staff and students.
  • Managing a high volume of phone, walk-in and email communications. Ensuring parent requests, inquiries and concerns are handled professionally and in a timely manner.
  • Accurately processing high volumes of registration data, enrollments, adjustments and refunds. Confirming all required documentation is properly received and recorded, and that families are contacted in a timely manner regarding missing information, outstanding fees or failed payments.
  • Assisting in all areas and phases of registration including systems testing, implementation and audits. Supporting the preparation of course catalogs, website content, parent communications, faculty training materials, and course confirmation mailings.
  • Completing routine recurring processes and transactions, including: data reporting and queries; student record audits, waitlists placements, class roster distribution, and coordinating departmental mailings.
  • Managing and maintaining the departments office supply inventory, orders, equipment and maintenance.

Position Details

  • Work Year: 12 Months
  • Work Hours: Monday - Friday, 8:00 AM - 4:30 PM. Schedule may vary based on operational needs
  • Minimum Hourly Rate: $23.00/Hour. Compensation is commensurate with qualifications
  • Punahou School offers a comprehensive total rewards program that includes competitive pay and benefits. The pay rate, if displayed, is the minimum hourly rate for the position. Pay for selected candidates will be determined by various factors such as knowledge, skills, abilities, relevant training and experience, and internal equity.

Minimum Qualifications

  • Bachelors degree in a related field or equivalent combination of education and experience.
  • Three (3) years related experience in a high-volume office environment.
  • Experience with relational databases, student information systems, and internet applications.
  • Demonstrated high proficiency in Microsoft Office applications (Excel, Word, PowerPoint) and Google applications (Docs, Sheets, Slides). Experience with Excel functions and tools such as PivotTables and XLOOKUP/VLOOKUP is preferred.
  • Excellent keyboarding skills and accuracy for high-volume data entry input.
  • Strong customer service orientation and excellent interpersonal, written and verbal communication skills.
  • Demonstrated analytical and problem-solving skills.
  • Ability to learn and interpret independently, apply and explain a variety of policies and procedures, and use sound judgement and discretion.
  • Ability to prioritize and multi-task, requiring a high level of productivity.
  • Ability to meet firm deadlines and work independently with little or no supervision.
  • Ability to establish and maintain positive and effective working relationships across diverse populations, and adapt effectively to change.
