Overview

Front Desk Clerk (Part-Time) role at Hilton Grand Vacations

As a Front Desk Clerk, you will provide excellent service while checking owners and guests in and out of the property and responding to inquiries regarding services during their stay. Commitment to our service culture is expected toward guests and team members at all times.

Responsibilities
  • Ensure every interaction with an owner or guest is positive and memorable during check-in/check-out and respond to requests
  • Input information into the computerized reservation system to update records; call for bell person as needed
  • Access the reservation system to determine unit availability and make advance reservations or changes
  • Maintain HGVC processes through the rental program and merchandise sales; issue and control unit keys; maintain safe deposit boxes
  • Provide additional services by taking and delivering packages, and handling telephone and fax messages for owners, guests, and staff
  • Maintain weekly owner and rental confirmation files; review expected check-in lists and note comments
  • Sort and distribute incoming mail; relay information to oncoming shift; handle housekeeping and maintenance requests
  • Prepare and mail pre-arrival welcome letters and arrival packets
  • Escalate unresolved problems to management
  • Keep the work area clean; provide information on area attractions and resort amenities
  • Type correspondence and reports for management as needed
  • Assist club owners with aspects of the club program; assist other departments as needed; perform other duties as assigned by management
Schedule

The Front Office Department operates seven days a week. You will be assigned to an eight-hour shift within operating hours of 6 AM to 11 PM, including weekdays, weekends, and holidays based on business needs.

Qualifications
  • High school graduate or equivalent
  • 1 year of related experience, including customer service, cash handling, and data entry
  • Proficient in English to communicate with guests, owners, and co-workers; able to comprehend job assignments
  • Able to adjust to schedule changes and cover shifts on short notice
  • Ability to multi-task and prioritize duties to meet timelines
Preferred Qualifications
  • Associate degree/college diploma
  • Prior hospitality, front desk, or relevant work history
  • Bilingual in Japanese
