Duties and Responsibilities
- *Coordinates the annual Pacific Rim Conference and other major training events, such as provider training and community training sessions, participating as resource staff during conferences.
- *Assists in the development and implementation of strategies for information dissemination and other public relations initiatives through public events and publications.
- *Monitors event budget and expenditure of funds, serving as point of contact to resolve various administrative issues.
- *Develops and drafts programs, flyers, agendas, letters, and other reports using word processing and graphics software.
- *Assists in disseminating evaluations of all training and evaluation events, and develops strategies for operational and logistical improvement.
- *Works closely with speakers and trainers to develop any required contract or agreement, and makes any other necessary arrangement.
- Responsible for preparing and processing purchase orders, authorization for payment, travel, contracts, and other documents assuring compliance with agency and University rules and regulations.
- Monitors expenditures across projects.
- Perform other duties as required.

Minimum Qualifications
- Possession of a baccalaureate degree in in business, business management, hospitality management, or education or related field and 2 year(s) of progressively responsible professional experience with responsibilities for planning and coordinating program events and activities; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
- Functional knowledge of principles, practices and techniques in program planning and coordination demonstrated by knowledge, understanding and ability to apply concepts, terminology.
- Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with program planning and coordination.
- Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the program planning and coordination.
- Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
- Demonstrated ability to operate a personal computer and apply word processing software.
Desirable Qualifications
- Demonstrated experience in coordinating in-person or virtual, meetings, and major training events with at minimum 500 participants, such as provider training and community training sessions.
- Demonstrated experience in coordinating conferences, meetings, and major training events with a minimum of 5 concurrent sessions.
- Experience in leading an interdisciplinary team.
- Knowledge of Hawaii context, venues and vendors.
- Experience working with persons with disabilities and providing accommodations.
