Other Conditions: Position is a temporary casual hire position and offers no benefits, hours not to exceed 40 hours per week. 89-day appointment.

Duties and Responsibilities:

  • Under the supervision of the Physics & Astronomy Department Chair, the position provides administrative and academic support to the department faculty and staff in compliance with all University policies & State and Federal Laws.
  • Serve as the first point-of-contact in the Physics Department to assist walk-in visitors, students, staff, faculty, and general community members.
  • Assist internal and external constituents and telephone callers by responding to general inquiries.
  • Assist with monitoring the Physics Departments general email, respond to and/or forward inquiries to the appropriate person.
  • Coordinate and inventory supply orders and materials or other items for faculty and staff.
  • Maintain collaborative working relationships with administrators, staff, and faculty in the department and other college offices.
  • Maintains confidentiality to include but not limited to information, files and records that the incumbent may obtain or possess, in accordance with federal and state laws and University of Hawaii policies.
  • Other duties as assigned.

Minimum Qualifications:

  • Possession of a baccalaureate degree in business administration, humanities, social sciences, natural sciences or related field and 0 years of progressively professional experience with responsibilities for academic support program support in higher education; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills, and abilities as indicated.
  • Functional knowledge of principles, practices and techniques in demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations, and systems associated with higher education.
  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the business administration environment.
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
  • Ability to work effectively and independently under pressure, with frequent interruptions, and remain flexible in handling several concurrent projects with competing deadlines.
  • Ability to provide excellent customer service.
  • Ability to adapt/respond to different types of customers.
  • Excellent organizational and time management skills.
  • Any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
