Salary Range:$24.00 - $31.00 USD

Overview Of Role

The Marketing Assistant is a key member of the marketing team, supporting the firm's growth by executing a wide range of administrative, creative, and technical tasks. This role is instrumental in supporting marketing operations, proposals and new business pursuits, internal and external event

coordination, and team engagement initiatives. The individual will collaborate closely with cross-functional teams to enhance the productivity, quality, and scalability of marketing output; elevate the visibility and effectiveness of marketing programming across the Hawaii region; and help foster a workplace culture rooted in RLB's core values of Truth, Trust, Together, and Tomorrow

Essential Functions

Marketing Operations

  • Manage vendor communications and coordination for marketing-related services.
  • Maintain organized digital and physical filing systems for marketing inventory, assets and documentation.
  • Coordinate onboarding procedures, including development and distribution of materials and communications.
  • Coordinate and schedule staff headshots, and maintain an organized, up-to-date photo library for marketing and proposal use.
  • Assist in the planning and coordination of client appreciation and giving initiatives.
  • Register staff for business development and networking events.
  • Process check requests and card payments for event participation and production needs.
  • Support the creation and distribution of internal and external reports.

Proposal & Pursuit Support

  • Assist in the preparation of qualifications packages and other pursuit-related materials.
  • Coordinate and complete teaming forms, client questionnaires, and compliance documentation.
  • Maintain and update resumes and other collateral to support pursuit efforts.
  • Maintain Project Records in CRM; utilize the platform to assist with client and market research.
  • Collaborate with technical staff to gather content and ensure timely, high-quality submissions.

Creative & Production

  • Support marketing planning and campaign execution.
  • Assist in the development and formatting of technical documents to align with branding standards.
  • Create and update templates for administrative and marketing use.
  • Support marketing outreach efforts through accurate CRM data management.
  • Develop and distribute the weekly internal “Industry Updates” newsletter.

Team Engagement & Event Support

  • Assist in planning, content development, coordination and providing day-of support for internal and external events to ensure smooth execution and impactful experiences.
  • Coordinate logistics, materials, and A/V support for meetings, training sessions, and presentations.

The ideal candidate will demonstrate a positive proactive approach to the role, and will be committed to delivering professional excellence, with good commercial results.

  • Minimum Education (or substitute experience) required: Bachelor's Degree in Business, Communications, Marketing, or related field.
  • Minimum Experience required: a minimum of 2 years' experience preferred.
  • Skills Required: Efficient in Microsoft Office including Word, Excel and PowerPoint. Proficiency in Adobe Creative Cloud Apps, including InDesign.
  • Desired Qualifications: Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Ability to work independently and collaboratively as part of a team in a fast-paced environment. Strong ability to prioritize tasks effectively, meet deadlines. Willingness to learn and adapt to new tasks while maintaining a solutions-oriented approach. Creative mindset with a passion for storytelling and content creation.

Physical Requirements And Working Conditions

  • Indoor office environment. May require work on site location when necessary.
  • Equipment used includes computers and standard office machines.
  • Essential physical tasks include: the ability to work on a computer and the ability to answer and speak on a telephone. The position requires the ability to perform various tasks typical of an office environment, including occasional lifting and carrying of items weighing up to 20 lbs.
