University of Hawai‘i, Kapi‘olani Community College, Facilities & Auxiliary Service is seeking applications for the Administrative & Fiscal Support Specialist. Duties and Responsibilities
- Procurement functions including preparing purchase orders, requisitions, bids, RFPs, and specifications.
- Processing payments, travel requests, contracts, stipends, and related activities.
- Ensuring compliance with federal, state, and university procurement guidelines.
- Staying updated on university policies, regulations, and legal requirements.
- Managing departmental budgets, preparing financial spreadsheets, and conducting audits.
- Maintaining training in fiscal, personnel, and recruitment areas; attending relevant training sessions.
- Aligning expenses with departmental budgets and policies.
- Developing and implementing internal workflow documents for personnel and recruitment.
- Managing recruitment and personnel paperwork and collaborating with HR.
- Managing projects assigned by the Facilities & Auxiliary Services Manager.
- Assisting with calendar management and meeting coordination for the Facilities & Auxiliary Services Manager.
- Drafting correspondence and reviewing documents for accuracy and compliance.
- Overseeing mail and parcel receipt, processing, and distribution.
- Ensuring proper handling and recordkeeping of mail and parcels.
- Managing outgoing mail metering and postal compliance.
- Loaning contractor keys with proper authorization and recordkeeping.
- Performing other duties as assigned.
Minimum Qualifications
- Baccalaureate degree in business administration, management, accounting, human resources, finance, public administration, or related field, plus one year of relevant experience; or equivalent education/training/experience.
- Knowledge of administrative, personnel, fiscal, and program support principles and practices.
- Understanding of relevant laws, regulations, and systems.
- Problem recognition, analysis, and resolution skills.
- Effective communication skills, both written and oral.
- Ability to establish effective working relationships.
- Proficiency in Microsoft Office, Adobe Acrobat, Google Suite, and other relevant software.
- Ability to prioritize tasks and meet deadlines.
- Sound judgment in applying policies and procedures.
- Attention to detail, accuracy, and organization.
- Valid driver's license.
- Equivalent education and/or experience that meets the qualifications.

- Ability to work successfully with diverse personalities and needs.
- Experience in academic office administration within a university environment.
- Knowledge of UH policies, procedures, and systems.
- Strong organizational skills.
- Commitment to the college's vision as an indigenous-serving institution.
