Job Summary

The Head of Events and Facility Rentals is responsible for planning, coordinating, and executing a variety of events to support the Honolulu Museum of Arts fundraising and programming goals. They also market and oversee HoMA facility rentals to support earned income strategies. The Head of Events and Facility Rentals directs large-scale events, including the annual Kama?aina Christmas event as well as donor cultivation, stewardship, and member events, while ensuring all offerings are in alignment with fundraising and other Museum goals.

Minimum Qualifications

  • Bachelors degree in hospitality, tourism management, or related field, and six years of experience in event planning in a museum or non-profit setting, or equivalent combination of education and experience.
  • Strong organizational, communication, and interpersonal skills.
  • A clear and thoughtful manager who leads efficiently by positive example and collaborates with their team.
  • Proficiency with event management software and Tessitura or other CRM platform.
  • Ability to generate creative ideas for programs and events, including details such as decor and catering.
  • Detail-oriented, creative, and able to work under pressure. Ability to manage multiple projects simultaneously.
  • Excellent interpersonal, written, and verbal skills. Understands how to clearly communicate and articulate messages differently for specific audiences ranging from internal stakeholders to visitors and external clients.
  • Ability to be inclusive and make volunteers and visitors feel that they are important and welcome at the museum.
  • Experience interfacing positively with high-level donors, sponsors, partners and stakeholders in various project roles.
  • Excellent computer skills, including Microsoft Office Suite.
  • Ability to handle sensitive information confidentially.
  • Honesty, integrity, enthusiasm, perspective, and a strong work ethic supported by commitment and follow-through.
  • Ability to work within and support a diverse community of visitors, artists, and employees.

Desired Qualifications

  • Familiarity with the Honolulu events industry, including contacts among catering, dcor, and other vendors.
  • Experience in sales/marketing of a facility for high-profile luxury events like weddings, corporate/product launches, anniversaries, corporate retreats, etc.
  • Five years of experience interfacing positively with high-level donors, sponsors, partners, and stakeholders in various project roles.
  • Experience with fundraising.
  • Experience collaborating with volunteers in a high-volume setting.
  • Prior understanding of Honolulu Museum of Arts established identity and dedication to maintaining it.

Essential Duties

  • Suggests, plans, and implements imaginative event formats and designs to build excitement around HoMAs calendar of events and provide rewarding experiences for HoMAs current and prospective donors.
  • Oversees all event related logistics, such as inter-departmental planning, catering, dcor, vendor coordination, and on-site management.
  • Develops and implements strategies to secure event sponsorships and in-kind donations from partner vendors in collaboration with the Advancement team.
  • Works closely with Chief Advancement Officer, Museum leadership, and any board event committees to ensure maximum engagement, timely responsiveness, and volunteer satisfaction.
  • Provides dedicated attention to the management of the space-use system and the sharing of information to ensure that Museum standards for events are clearly upheld through collaborative relationships with the museums staff, third-party vendors, and partners.
  • Effectively maintains and publishes the events calendar, ensuring that Museum leadership, staff, and volunteers are invited, as appropriate.
  • Ensures that events and facility rentals do not conflict with other pre-arranged uses of Museum space. Collaborates with Chief Advancement Officer to understand priorities and advance activities within that alignment.
  • Creates and manages event budgets, ensuring financial goals are met and expenses are controlled.
  • Administers a Preferred Vendors list designed to maximize vendor relationships and revenues, while keeping expenses low. Prioritizes HoMA catering for rental Food and Beverage needs to drive other earned revenues within the Museum.
  • Supervises and coordinates the work of event staff, internal departments, volunteers, and interns. Recruits, trains, and mentors an enthusiastic and capable team.
  • Collaborates with the Communications team to promote events and ensure that all stakeholders are aware and invited as appropriate.
  • Cultivates and manages client relationships for event rentals, including weddings, corporate events, and social gatherings.
  • Ensures all events comply with museum policies, community expectations, security needs, etc.
  • Prepares detailed reports on event outcomes, including financial performance and attendee feedback.
  • Demonstrates a commitment to fostering, cultivating, and preserving a culture of diversity, equity, and inclusion through respectful communication and cooperation with others at all times, continuous training and modeling inclusive behaviors.
  • In partnership with HR, supports the leadership team in ensuring equitable experiences, strengthening inclusion acumen, and promoting a culture of inclusivity and belonging that embraces the contributions of all staff.

**Compensation**

The Honolulu Museum of Art is committed to practicing salary transparency. The minimum salary for this position is**$70,000 per year** and the maximum salary is**$80,000 per year**. Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting pay, including education, experience, the external labor market, and internal equity.

Along with the base salary as noted above, this position is eligible for a commission structure that rewards successful achievement of rental and revenue targets.
