Job Overview

Responsible for maintaining the master schedule of patient appointments for outpatient clinic visits. This includes scheduling appointments for new and return patients according to hospital policies. Effectively utilizes the computerized appointment system. Demonstrates effective and age-appropriate communication skills by phone and in person with patients, families, staff, Shriners, and other visitors. Keeps current as the database is updated and/or changed.

This position is part-time, non-exempt, and benefits-eligible. The pay range for this position is $22.77/hour - $28.47/hour. Compensation is determined based on years of experience and departmental equity.

Responsibilities

The Scheduling Coordinator works collaboratively with the Admissions Coordinator, Dental Care Manager, Dentists, and Patient Guardians to ensure that infant, toddler, preschool, school-age, and young adult (up to age 21) patients are screened and meet the requirements of the hospital prior to receiving surgical or dental services. Obtains necessary medical information at the time of admission to enhance strategic placement on the surgical schedule and ensures patients are appropriately scheduled for dental preadmission testing (PAT) and outpatient surgery (OPS) visits. Communicates and coordinates with departments, primary care physicians, and outside sources to obtain necessary surgical resources and prepare patients for their appointments. Provides education regarding the dental process. Coordinates related services preoperatively to ensure a smooth perioperative transition for pediatric patients. Performs clerical duties and generates statistics relevant to the department.

Coordinates Day-To-Day Clinic Operations:

  • Schedules or reschedules clinic appointments in SHCIS accurately and timely.
  • Ensures outpatients scheduled for visits are registered in SHCIS and that labels, itinerary, and ID sheets are placed in front of the chart.
  • Sends written notifications of regularly scheduled appointments to patients and their families.
  • Gives verbal notification of add-ons and unscheduled appointments to nursing staff upon patient's arrival to the clinic.
  • Orients all new patients and families to OPD and explains HIPAA/clinic forms prior to completion of initial appointment.

Qualifications

Education

High School Diploma/GED required. Medical terminology course or Medical Assistant training preferred.

Experience

Minimum two (2) years experience in an acute care facility, outpatient surgery center, or surgeon's office preferred. Pediatric and/or orthopedic experience preferred. Familiar with using computers.
