Title: Payroll Assistant

Location: Honolulu, HI

Term: Long Term Contract

Summary

Responsible for assisting Payroll Department to ensure accurate payroll processing. Responsible for assisting the payroll department in maintaining accurate employee payroll records, calculating and processing timely and accurate payroll cycles, preparing disbursements, and responding to employee inquiries regarding payroll matters, while maintaining confidentiality and compliance with various Federal and State regulations and laws.

Essential Duties and Responsibilities

  • Assist in the timely and accurate preparation and processing bi-weekly payroll and bonus cycles for employees for various entities.
  • Maintain and update employee records including tax, direct deposit and other relevant information.
  • Verify the accuracy of employee data and prepare reports on payroll activities, including on- demand reports.
  • Responding to payroll-related inquiries and resolving concerns.
  • Calculate and process payroll disbursements.
  • Record, verify, and reconcile payroll-related information.
  • Ensure compliance with federal and state laws and regulations.
  • Review the reasonableness of the total gross wages and deductions for all companies, confirming compliance with Child Support, Garnishment, and Levy deductions during the bi- weekly payroll processing.
  • Reconcile employee benefit deductions and liabilities, review billing statements, and prepare check requests for the Accounting Department.
  • Ensure that all payroll reports are generated accurately and in a timely manner.
  • Generate and review necessary reports for monthly, quarterly, and annual closings, including balancing wages and taxes and preparing W-2 and W-2c forms at year-end.
  • Run payroll tests for new pay policies and for new income/deduction codes.
  • Maintain confidentiality and security of employee and company payroll information.
  • Perform other duties as assigned.

Essential Skills, Knowledge and Abilities

  • Thorough knowledge of Payroll Department operations.
  • Strong understanding of Federal and State regulations regarding payroll taxes.
  • Capable of maintaining a high level of confidentiality when handling sensitive payroll information.
  • Ability to consistently follow up on outstanding items and complete tasks, both large and small.
  • Organized, accurate, detail oriented, and capable of meeting deadlines.
  • Ability to collaborate effectively with coworkers, other departments, management, stores, and vendors.
  • Skilled in working independently within a fast-paced, task-oriented environment.
  • Excellent verbal and written communication skills.
  • Strong attention to detail to ensure the accurate processing of payroll information.
  • Strong organizational and time management skills to manage multiple tasks simultaneously.
  • Strong analytical and problem-solving abilities.
  • Proficient in ten-key by touch.

Preferred Qualifications

  • Minimum of 3 years payroll experience.
  • Associates degree or higher.
  • Proficient in computer skills, including a strong working knowledge of Excel.
  • Flexible work schedule to meet payroll deadlines.
  • Dayforce (Ceridian) experience preferred.
