Duties and Responsibilities

(NOTE: ** denotes Essential Functions)

  1. Supervised work: Performs professional administrative support related to campus-wide auxiliary services and facilities management (grounds, janitorial, maintenance, repairs, renovations).

  2. Supervises: Employees of various classifications and student workers to ensure auxiliary and facilities services are provided and tasks are accomplished.

  3. Investigations: Conducts fact-finding or studies into auxiliary and facilities issues as directed.

  4. Consults: Works with contractors, vendors, campus officials to address operational issues, provide recommendations, and report to the manager.

  5. Work order management: Manages online work order system, reviews, approves, or reroutes requests, prioritizes and assigns tasks.

  6. Campus inspections: Analyzes conditions, staffing, and priorities; recommends courses of action.

  7. Documentation: Audits and maintains files (employee leave, safety, inventory, training, budget).

  8. Complaint response: Handles campus complaints, analyzes issues, and reports findings.

  9. Supervises staff: Oversees maintenance, grounds, janitorial staff (~30 employees), ensuring standards, safety, and inspections.

  10. Training: Develops or modifies employee training programs.

  11. Safety inspections: Conducts inspections for compliance with HIOSH and fire safety codes, collaborates with agencies for corrections.

  12. Building systems knowledge: Receives training and understands campus systems (HVAC, irrigation, power, boilers).

  13. Procurement: Manages procurement activities and inventory of equipment, schedules repairs, develops replacement plans.

  14. Other duties: Performs additional tasks as assigned.

Minimum Qualifications

  • Possession of a baccalaureate degree in Business Administration, Public Administration, Construction Management, or related field, plus 4 years of relevant professional experience, or equivalent combination of education and experience.
  • Knowledge of employee scheduling, evaluation, and management principles.
  • Understanding of applicable safety laws and regulations.
  • Ability to resolve complex problems creatively and effectively.
  • Strong written and verbal communication skills, with ability to prepare reports.
  • Ability to establish effective working relationships.
  • Proficiency with computers, word processing, and spreadsheets.
  • Experience leading staff, managing priorities, and managing employee relations.
  • At least 3 years managing blue-collar staff.
  • At least 3 years training staff.
  • At least 3 years working with contractors and vendors.
  • At least 2 years experience in purchasing and inventory management.
  • Ability to read and interpret blueprints/drawings.

Desirable Qualifications

  • Knowledge of the Unit 01 collective bargaining agreement.
  • Experience with Hawaii Procurement processes.
