Site Administrator

Description:

Overview

Provides technical and administrative support for the site, exercising initiative and judgment. Expedites significant matters or refers them to the appropriate authority.

Responsibilities

  1. Create, modify, and update databases/spreadsheets related to maintenance site administration, including payroll, accounting, filing, and records management; generate ad hoc reports for management.
  2. Create and code invoices, manage customer collections, and oversee petty cash and company card responsibilities.
  3. Manage applicant statuses in the tracking system, assist with onboarding and badging in coordination with TSA.
  4. Interact professionally with internal and external customers and vendors.
  5. Exercise initiative and judgment in the absence of supervision and management, referring issues to delegated authority or handling them to minimize disruption.
  6. Coordinate travel arrangements for managers and employees.
  7. Assist with administering corporate policies and procedures, including record keeping, filing, reporting, and tracking.
  8. Provide telephone reception for the maintenance site.
  9. Ensure compliance with ELS safety policies and procedures.
  10. Maintain a valid driver's license and insurability under the employer's insurance policy.
  11. Perform additional duties as required by management.
  12. Maintain punctual and regular attendance.

Qualifications

  • Associate's Degree or equivalent work experience of at least 3 years in an office environment.
  • Minimum 1 year experience in accounts payable.
  • Minimum 1 year experience with payroll.
  • Minimum 1 year experience with customer invoicing.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Ability to work a flexible schedule.

Preferred Qualifications:

  • Associate's degree in a related field and over 3 years of office experience.
  • Ability to multitask in a fast-paced environment.
  • Knowledge of OSHA regulations.
  • Excellent communication and organizational skills.
  • Over 3 years' experience with HR processes, A/P, payroll, and invoicing.
  • OSHA 10 or 30 Certification.

Computer Skills: Microsoft Office Suite, email, scanning, and copying equipment.

Other Requirements:

  • Proficiency in reading, writing, speaking, and understanding English.
  • Ability to obtain and maintain an Airport Security badge.
  • Valid driver's license and insurability under company insurance.
  • Compliance with ELS drug and alcohol policy.

Physical Demands: Vary daily; not based on a single workday. Includes standing, walking, sitting, handling, reaching, climbing, crawling, squatting, bending, and lifting weights as specified.

Work Environment: Office setting possibly near dust, dirt, machinery, temperature variations, and noise; PPE required.
