JOB SUMMARY

The Accounts Receivable Clerk is primarily responsible for counting and depositing all monies received by Times Super Market, Ltd. Work involves billing for Vendor Coupons, Product Coupons, HMSA claims, and charges. Posts to the General Ledger accounts. Prepares data for SBC submission. Collects from vendors for damaged merchandise.

Essential Duties and Responsibilities:

1. Issue bills and invoices.
2. File and maintain all credit memo invoices.
3. Enter daily cash receipt deposits against Daily Deposit Log and GL Accounts.
4. Enter finalized cash receipts and update accounts receivable ledger by customer.
5. File check stubs and bank receipts.
6. Ensure that payments are posted and distributed accurately and within required time.
7. Research, identify, and allocate all payments.
8. Process charge backs, returns, and bad checks.
9. Ensure timely resolution of invalid deductions and short payments.
10. Answer accounts receivable phone inquiries and follow up.
11. Obtain and mail invoice copies for customers, as requested.

DUTIES

1. Major:
1. Count store receipts.
2. Deposit all cash received by Times Super Market, Ltd.
3. Separate WIC coupons.
4. Send out invoices for WIC coupons, Vendor coupons, Product coupons, HMSA claims, and charges.
5. Post receivables onto the General Ledger accounts.
6. Process register change accounts.
7. Prepare paperwork for submission to SBC.
8. Balance Vendor coupon payments.
9. Xerox purchase orders and send copies to the respective Stores.
2. Periodic:
1. Type up billings for Vendor and WIC coupons.
2. Count the Office soda vending machine money.
3. Mail out claims to HMSA.
3. Irregular:
1. Collect outstanding accounts receivable.
2. Assist the Cash Summary Department, as required.
3. Serve as a back-up switchboard operator, as required.
4. Other related duties, as assigned.

RESPONSIBILITY & AUTHORITY

1. Responsibility to Equipment: Responsible for the proper use and maintenance of all departmental equipment such as calculator, typewriter, and telephone. Also responsible for the correct usage of community equipment such as the teletype, Xerox machine, etc.
2. Responsibility to Times: Represents Times Super Market and the Department to the general public and the Stores. Presents a good image of the Company and Department at all times. Must maintain a neat and well-groomed appearance. Refers all persons to the proper personnel on matters which cannot be handled by the Accounts Receivable Clerk.
3. Responsibility to Others: Ensures that proper office safety practices are followed to prevent accidents. Maintains a good working relationship with all employees and other individuals.
4. Authority: No direct supervisory responsibilities. Limited to assisting others.

JOB REQUIREMENTS

1. Education: High School graduate with typing and 10-key adding machine background preferred. Helpful courses include business machines, business math, accounting or bookkeeping, human relations, and computer operation.
2. Experience: Prior experience in Accounts Receivable, related accounting areas, or Cash Summary preferred.

EFFORT

1. Mental: Concentration on accuracy, small print and numbers, close paperwork, such as reading reports.
2. Physical: Eye concentration is required due to posting of accounts into the Posting Register. Some strength is required to carry boxes. Good listening skills when dealing with Customers and Vendors.
3. Initiative: Responsible for exercising good judgment and common sense by following proper procedures in all areas. Ability to work with minimal supervision. Ability to meet deadlines. Ability to solve discrepancies by utilizing proper work guidelines and methods. Must be willing to learn and keep current on all areas of responsibility.

WORKING CONDITIONS

1. Working Environment: Office work environment with modern and contemporary office furniture and fixtures. Air Conditioned. Some fluctuations in the air conditioning temperature. Usually involves long periods of sitting.
2. Hazards: Work area is cluttered due to boxes.
3. Equipment Utilized: Telephone, Electric Typewriter, 10-Key Adding Machine, Calculator, Xerox.
