Job Description

The Project Coordinator for the Development & Construction operation is responsible for assisting the Sr. VP in administrative and secretarial functions. Assists in preparing department budgets and schedules, and monitors and maintains records of the status of projects. Maintains in-depth familiarity with the dynamics and scope of projects. Manages the flow of information and communication systematically among managers so as to optimize the management efficiency of the operation.

Salary: $55,000 - $65,000 annually

Reporting Relationship:

Reports to: Sr. VP Dev/Con

Supervises: Office Assistant and Contracts Consultant

Responsibilities

Essential Duties

  1. Prepare and/or assist in preparing grading and building permits.
  2. Manage flow of information and communication with County agencies for plans & permits.
  3. Type correspondence, memos, and reports (as specified by manager).
  4. Help in the preparation of project requests documents.
  5. Oversee and direct Office Assistant and Contracts Consultant.
  6. Take and transcribe meeting notes; type correspondence, routine form letters, and statistical typing for reports and budgets.
  7. Assist manager(s) on special projects as assigned.
  8. Answer phones, screen callers when appropriate, and take messages. If possible, assist caller with information or refer to another manager/department when manager is absent.
  9. Organize and maintain department files.
  10. Schedule and maintain daily calendar.
  11. Make travel arrangements. Prepare travel and local expense statements.
  12. Order and maintain supplies.
  13. Make appointments for various callers based on an understanding of their interests.
  14. Perform other duties as assigned.


Qualifications

Qualification/Requirements:

  • Requires minimum of 5 years previous experience, preferably in Development, Construction, and/or the Architecture/Engineering Field.
  • Must be proficient in Outlook, Word, Excel, PowerPoint, and Bluebeam.
  • Requires excellent written and verbal communication and organizational skills.
  • Requires relating to people in a friendly and professional manner.
  • Requires working to established procedures and maintaining reliable work attendance.
  • Able to think and make effective decisions quickly.
  • Ability to create effective working relationships with people.
  • Must be able to maintain a positive attitude and work under pressure.


Required Work Cards/Certifications:

  • Valid Hawaii Driver's License and successful review of Motor Vehicle Record

Physical Requirements:
  • While performing the duties of this job, the employee is regularly required to sit, talk and hear.
  • The employee is occasionally required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl.
  • The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distant vision and color vision.
