Hawaii Residency Programs, Inc. (www.hawaiiresidency.org) is an independent, not?for?profit corporation that provides administrative support for medical residency programs and employs the physicians?in?training.

Job Summary

The Administrative Assistant provides coordination and administrative support to the Pediatrics Residency and Neonatal?Perinatal Fellowship Programs. This role is responsible for managing didactic and simulation activities, tracking compliance, supporting program committees and events, assisting with recruitment and onboarding and serving as a key point of contact for residents, fellows, faculty, and applicants to ensure smooth program operations and compliance with institutional and accreditation requirements.

Major Responsibilities and Duties

  • Didactics and curriculum coordination for weekly educational sessions between the residents and fellows as needed
  • Compliance and accreditation support in regard to the upkeep of accurate records and completion/renewals of documents
  • Credentialing and maintaining graduate information in regard to licensing, HRP central office, graduate files, website, etc.
  • Committee and program support for educational meetings between residents, fellows, and faculty
  • Recruitment and onboarding of residents and fellows
  • Being a point of contact and/or liaison between residents, fellows, and the program

Other Duties/Functions
  • Assist Program Administrator in maintaining and documenting Program administrative procedures
  • Attend scheduled HRP and program meetings as assigned
  • Occasionally perform off?site errands
  • Other duties as needed

Minimum Qualifications

PREFERRED
  • Related Associates or Bachelors Degree
  • Minimum 3 years of administrative or equivalent experience
  • At least 1 year of Graduate Medical Education (GME) experience
  • At least 2 years of administrative experience in the Academic and/or Health Care setting

REQUIRED
  • High School Diploma or equivalent
  • Intermediate to advanced proficiency in Microsoft Office Suite
  • Basic knowledge of SharePoint and Adobe Acrobat Pro
  • Must be able to work with web?based applications, learn and adapt to educational software (e.g., New Innovations, ACGME ADS, etc.)
  • Ability to manage multiple and sometimes changing deadlines and priorities
  • Ethical, professional, courteous, resourceful, and proactive behavior
  • Ability to be a team player, flexible, and work under pressure
  • Access to transportation to attend occasional off?site meetings

HRP supports a Hybrid work environment based on the business needs, and particularly, the needs of the program/department. Hybrid opportunities are available after a preliminary period has been met. This preliminary period will be 100% in office. All hybrid work schedules will be discussed between the individual and their immediate supervisor.

Salary

  • $23.64/hour - 40 hours/week
